Host Pilot Pro — the system
we built to run 90+ villas
Host Pilot Pro is the in-house platform behind everything an owner or referral agent sees from us — live statements, finance controls, pricing intelligence and listing quality, built on top of our channel manager, Hostaway. It is not a replacement for Hostaway, and it isn't sold as separate software.
Why we built it
Off-the-shelf software didn't show owners enough
We run our day-to-day channel management, calendars and OTA distribution through Hostaway — and we still do. But the reporting, finance controls and pricing decisions owners actually care about needed more than a channel manager's default dashboard could give them. So we built Host Pilot Pro on top of it: our own layer for owner statements, cash controls, pricing intelligence and listing quality, feeding from the same booking data Hostaway already holds.
It exists because 90+ villas' worth of owners kept asking the same questions — where's my money, what's my villa really earning, why did this booking cost what it cost — and a generic channel-manager report wasn't a good enough answer.

Live numbers, not a monthly PDF
Every owner under our management gets a live login: calendar, income and expense reporting, per-booking invoices, and photo-documented housekeeping and maintenance history. No waiting for an emailed spreadsheet at month-end — the same data updates as bookings and costs happen.
Referral Agent Portal
The same transparency, for agents
Real-estate agents who refer buyers to us for management get their own login inside Host Pilot Pro — every referred villa, its current monthly revenue, commission earned, running balance and payout history. See the full programme at Referral Agents.

Checkouts, tasks and staffing
Housekeeping, maintenance and inspection tasks are scheduled, assigned and tracked to completion with photo evidence, so nothing depends on a WhatsApp message someone forgot to send.

Guest messages, arrival details and issue resolution are tracked in one place across our team, so a guest never has to repeat themselves to a different staff member.

Cash and petty-cash controls
Every float, advance and cash drop-off across our properties is logged against a specific booking or task, with duplicate-entry guards, so cash handling is auditable rather than trust-based.
Finance Controls
Every baht traceable to a booking or a bill
Owner statements reconcile against actual Hostaway booking and payout data, with VAT-aware accounting built for how Thai villa management actually works. Petty cash, bill payments and owner payouts each carry an audit trail back to source, rather than a single lump total at month-end.
Pricing Intelligence
Pricing decisions backed by our own booking data
Host Pilot Pro tracks seasonal demand, year-over-year comparisons and market movement across our own portfolio, and surfaces pricing alerts when a villa's rate looks out of step with demand. Rate changes still go through owner approval — this is a copilot for pricing decisions, not an autopilot that changes rates without anyone looking.
Listing Optimisation
Listings that get audited, not just published once
Every listing gets reviewed against what's actually converting across our portfolio — photo order, title structure, amenity tagging — and pushed back into Hostaway once improved. A listing that goes live well doesn't necessarily stay competitive for two years without anyone checking; Host Pilot Pro is how we catch that.
What it is not
Not a PMS replacement, not (yet) sold as software
Host Pilot Pro is not a property-management-system replacement. We use Hostaway as our channel manager for calendar sync, OTA distribution and reservation data, and Host Pilot Pro is built on top of that, not instead of it. It is also not currently sold as standalone software to other property managers — it's the internal system behind our own management service, available to owners and referral agents who work with Mr Property Siam. If that changes, this page will say so.
